How to record a night shift that crosses midnight

You start work on Monday and leave on Tuesday. It feels like one stretch, but a daily record has two dates to deal with. Putting the whole shift on both dates would count the same hours twice.

On paper or in your own notes, keep a single heading for the shift, then divide its hours at midnight when making calendar-day totals. You can preserve the story of the night without losing track of where its hours belong.

Write both dates before working out the duration

Start with the date and time you began, followed by the date and time you finished. “22:00–06:30” leaves the date change implicit. “19 October, 22:00 → 20 October, 06:30” makes it visible.

Use the actual boundaries you remember or can check. A rota gives you the planned shift; it does not establish when you finished. Keep travel outside the shift if your purpose is to record time at work. You can add the journey as its own entry.

A fictional shift, divided at midnight

This example is invented. The person starts at 22:00 on 19 October 2026 and finishes at 06:30 on 20 October. All times use one unchanged local clock, with no clock change or travel between timezones. A half-hour break runs from 02:00 to 02:30.

The heading remains “Night shift, 19–20 October.” Under it, these entries allocate each part to a calendar date.

The shift spans 8½ hours: 2 hours on 19 October and 6½ on 20 October. Work totals 8 hours, with a separate ½-hour break.
Calendar datePart of the shiftDurationRecord
19 October22:00 to midnight2 hWork
20 OctoberMidnight to 02:002 hWork
20 October02:00 to 02:30½ hBreak
20 October02:30 to 06:304 hWork

Midnight here is 00:00 at the start of 20 October. The shift heading describes the entries below it; its 8½-hour duration is not another block to add to them.

Say whether the shift block includes breaks

For a broad personal record, you could write “Shift, including break: 8½ hours.” In daily totals, that becomes 2 hours on the first date and 6½ on the second. You would not add the half-hour break again.

If you want to see breaks separately, use the four entries in the example instead. The second date then contains 6 hours of work and half an hour of break. Both approaches cover the same elapsed time. Choose the detail you need and label it clearly.

These are ways to describe your own time. They do not determine paid hours or how an employer records a break.

Keep an uncertain boundary uncertain

If you remember starting around 22:00, write “around 22:00.” A duration calculated from that start is approximate too. Splitting the entry at midnight does not make the original estimate more exact.

You may know you were at work throughout the night without remembering each task. A broad shift block can say that, with “activities not reconstructed” beside it. You do not need to invent a task for every hour.

If you cannot place the finishing time, leave the end and total unresolved. Keep any intervals you can support. The scheduled finish can stay in a separate planning note; do not use it to silently fill the gap.

Check the split before adding the rest of the day

Add the date portions once and compare them with the whole shift. In the example, 2 + 6½ = 8½ hours. The work and break entries also add to 8½. Those are two views of the same span, not two sets of hours.

Then add other activities to their own dates. A journey home after 06:30 belongs on 20 October, outside this shift. Leave the rest of either date unfilled until you record it; the midnight split only accounts for this one night at work.

Take this with you

Keep one shift heading, dated boundaries and a single allocation of each hour. A calendar split can preserve both the whole night and the separate days.
